TM - Custom tender fields

Why

Some clients want to be able to add specific fields to their tender, to be able to report on this data. In Negometrix3 this is possible, so this is considered a gap which we’re now closing.

Please note that this first version will not contain the report part yet: that will come later this year (due to other priorities). Clients can already start creating fields and filling them out: once the report part is implemented, this data will be available to report on.

What

Users with the permission to “Manage custom fields“ will be able to add fields in the Organization profile. Every tender that is created from then onwards, will contain the created fields in this section.

How

A new permission is added on Organization level “Manage custom fields“. This permission is automatically enabled for all users that are admin of their organization. Users with this permission will have an additional tab in Organization profile > Tender management: Custom fields.

 

In this menu, fields can be added which will appear in any tender that is created from then onwards.

  • This means that custom fields will not be shown in already created tenders.

  • On tender creation, the fields are copied into the tender, which means it’s a one time action.

  • There’s no dynamic link between the custom fields in the tenders and in the organization profile.

Below the screen when there are no custom fields created yet.

 

After clicking the Add button, the user can select one of the 5 possible types:

  • Text: a field where the buyer can fill out a single line text field with a maximum of 50 characters.

  • Large text: a field where the buyer can fill out a text area field with a maximum of 100, 250 or 1.000 characters. The admin can set the max amount of characters.

  • Multiple choice: a field where the buyer can either select one value (dropdown), or multiple options (checkboxes) from a predefined list. The admin can create the values, and deactivate old ones. It’s not possible to edit existing values.

  • Numeric: a field where the buyer can fill out a value in numbers or currency. The admin can set whether it’s a number or currency.

  • Date: a field where the buyer can select a date via the date picker.

 

Once a field is created, the screen changes. For each field, it’s possible via the 3 dot menu to:

  • View the settings (not possible to edit anything, except adding MPC options),

  • Reorder the field (opens a pop-up to reorder, as how it works within questionnaires),

  • Deactivate it (see details further below).

 

When deactivating a field:

  • It’s moved to the Inactive section. Here you can see who deactivated it, and when.

  • Inactive fields will no longer appear in newly created tenders, but are still available in existing tenders.

  • The data that’s filled out, will also still be available in reports (when this is implemented).

  • An admin can permanently delete fields: by doing this, the fields will no longer be available in reports. However, this delete action will not affect any tenders where this field was added (so it remains there).

In a tender, all users with the permission to edit the tender can fill out the custom fields. The custom fields are placed below the General section (name, description etc.). Below the view in Edit and View mode.

 

Small changes

In this release, the following small changes have been implemented:

  • Tender Assistant - From now on, it’s possible to add multiple organizations to a tender assistant. This increases the flexibility of the tender assistant and makes it easier to manage a tender assistants.
