Self-defined fields

Adding and managing self-defined fields is done via the 'Classic' environment of Portal.

Navigate to this environment via the 'Classic' button.


Add self-defined field

  1. Click on the 'Management' menu at the top right.

  2. Click on the 'Settings' menu.

  3. Click on the 'Self-defined' fields tab.

  4. Click on 'Add field' at the top right.

  5. Enter at least a name for the field and choose a 'Type' field. The field types below are available.

  6. Optionally, a label, description, default value and option values ​​can be entered. Label can be used to group templates. Description concerns a further explanation of the field. The 'Default value' field indicates which default value the field is loaded with when creating a contract. The desired choices for the picklist, multi-picklist, checkbox and radio field types are recorded via the 'Option values' field.

  7. Click 'Save' at the top right.

 

Field types

  • Text: free text input field (1 line)

  • Text area: free text input field (multiline)

  • Number: field with control for numerical input.

  • Currency: field with control for numerical input and formatting including thousand separator and 2 decimal places.

  • Checkbox: field where multiple choices can be selected simultaneously from the options shown.

  • Radio: field where only one choice can be selected at a time from the options shown.

  • Pick list: field where one selection can be made from a displayed list.

  • Multi-pick list: field where multiple selections can be made from a displayed list.

  • Date: field in which a date can be recorded.

  • Link object: field to use to link to websites (internal or external). When entering a contract, the field is shown as two elements: URL (website address) and label (description of web address/URL).

  • Contact: field with which a contact from the 'Address book' can be recorded.

  • Formula: field in which a value is recorded based on a formula defined for the field.

 

If a description has been entered for a field, this will be shown with an 'Information (i) icon' next to the field when a contract is called up that includes the field in question. By placing the cursor on the information (i) icon, the description is then displayed.

 


Adjust self-defined field

  1. Click on the 'Management' menu at the top right.

  2. Click on the 'Settings' menu.

  3. Click on the 'Self-defined fields' tab.

  4. Click on the self-defined field that needs to be changed.

  5. Click 'Edit' at the top right.

  6. Make the changes and then click 'Save' at the top right.


Remove self-defined field

  1. Click on the 'Management' menu at the top right.

  2. Click on the 'Settings' menu.

  3. Click on the 'Self-defined fields' tab.

  4. Click on the self-defined field that should be deleted.

  5. Click 'Delete' at the top right.
